**Configure Monitoring for POP3 Mailbox**

Configure GermainUX POP3 Mailbox Monitoring to tailor message-count and message-age monitoring, availability, KPIs, SLAs, correlation, alerts, automation, dashboards, and reports.

> [!NOTE]
>
> This guide assumes that the POP3 Mailbox Monitor has already been deployed.

## Configure the Mailbox

Verify the configuration for each monitored mailbox.

Configure:

* Mailbox name
* POP3 server
* Port
* Credentials
* TLS where required
* Environment
* Related application or integration

Associate the mailbox with the application or integration responsible for processing its messages.

## Configure Monitoring Frequency

Configure how frequently GermainUX checks the mailbox.

Choose a frequency according to:

* Expected message volume
* Processing schedule
* Business criticality
* Required detection speed

For example, a continuously processed operational mailbox may require more frequent monitoring than a mailbox processed by a scheduled batch.

## Configure Message Count Monitoring

Configure GermainUX to monitor the number of messages waiting in the mailbox.

Use:

**POP3 Mailbox Message Count**

to analyze mailbox backlog.

Monitor conditions such as:

* Current message count
* Maximum message count
* Average message count
* Changes in message count
* Growing backlog

## Configure Message Timestamp & Age Monitoring

Configure the message-count threshold that triggers timestamp retrieval.

When the threshold is exceeded, GermainUX can retrieve message timestamps to determine:

* Message age
* Age of oldest message
* How long messages have remained unprocessed
* When the backlog began

Use timestamp collection where message age is important to determining whether processing is outside its expected service level.

## Configure Availability Monitoring

Configure:

**POP3 Mailbox Availability**

to identify whether GermainUX can successfully access the mailbox.

Monitor conditions such as:

* POP3 server unavailable
* Connection failure
* Authentication failure
* Timeout
* TLS or certificate error

Availability should be analyzed separately from message count.

## Configure Error Monitoring

Configure:

**POP3 Mailbox Error**

for mailbox-monitoring failures.

Categorize errors such as:

* Connection
* Authentication
* Network
* TLS / Certificate
* Timeout
* Script
* Parsing

This helps distinguish a mailbox or infrastructure problem from a monitoring-configuration problem.

## Configure KPIs

Configure the POP3 KPIs required for the environment.

Examples include:

* POP3 Mailbox Message Count
* POP3 Mailbox Message
* POP3 Mailbox Availability
* POP3 Mailbox Error

Additional custom KPIs can be created where required.

## Configure Measures & Pivots

Useful measures include:

* Current message count
* Maximum message count
* Average message count
* Message age
* Age of oldest message
* Availability
* Error count
* SLA violation count

Analyze results by dimensions such as:

* Mailbox
* Mail server
* Application
* Integration
* Environment
* Error
* Monitoring Engine
* Time period

## Configure SLAs

Configure SLAs for mailbox conditions requiring threshold-based monitoring.

For example:

**Message Count > Threshold**

**Oldest Message Age > Threshold**

**Mailbox Availability = Unavailable**

**Backlog Continues to Grow**

**No Messages Received During Expected Period**

Thresholds should reflect the normal message volume and processing behavior of each mailbox.

## Configure Categorization

Categorize POP3 conditions into meaningful operational groups.

For example:

* Mailbox Available
* Mailbox Unavailable
* Backlog
* Old Message
* Authentication Failure
* Network Failure
* TLS Failure
* Monitoring Error

Categorization simplifies analytics, dashboards, reports, and alerting.

## Configure Correlation

Associate each mailbox with the application or integration expected to process its messages.

For example:

POP3 Mailbox
Integration
Application

This enables analysis such as:

**Mailbox Backlog → Integration Failure**

**Old Messages → Application Error**

Mailbox Backlog
Consumer Process
Server

Mailbox Unavailable
Network
POP3 Server

Correlation helps determine whether the mailbox condition is the problem itself or a symptom of a failure elsewhere.

## Configure Root Cause Analysis

Use correlated GermainUX telemetry to investigate mailbox processing issues.

For example:

Backlog
Integration
Application Log Error

or:

Backlog
Consumer Process
Infrastructure

or:

**Mailbox Unavailable → Network / Authentication / POP3 Server**

Combine POP3 telemetry with application, integration, log, database, server, and network monitoring where available.

## Configure Data Privacy

Review the mailbox metadata collected by GermainUX.

Avoid collecting:

* Message bodies
* Attachments
* Sender information
* Recipient information
* Subject
* Authentication information

unless specifically required and authorized.

Use secure credential storage and encrypted POP3S connectivity where supported.

## Configure Alerts

Configure alerts for mailbox conditions requiring operational attention.

Examples include:

* Message count exceeds threshold
* Oldest message exceeds SLA
* Mailbox unavailable
* Authentication failure
* Backlog continues to grow
* Expected mailbox activity stops

Configure the appropriate recipients and escalation behavior.

## Configure Automation

POP3 mailbox conditions can trigger GermainUX automation.

For example:

Mailbox Condition
KPI
SLA
Alert / Action

Automation can include:

* Notifications
* Reports
* Diagnostic scripts
* Operational workflows
* Approved remediation actions

For example:

Mailbox Backlog
Check Consuming Integration
Alert Support

Automated remediation should only be configured where the detected condition reliably identifies the failure.

## Configure Dashboards

Create dashboards for POP3 Mailbox Observability.

Examples include:

* Message count
* Message count trend
* Oldest message age
* Mailbox availability
* Errors
* SLA status
* Backlogs by mailbox
* Related integration health

A useful operational view is:

Mailbox
Message Count
Oldest Message
SLA
Consuming Integration

## Configure Automated Reports

Configure reports summarizing:

* Message volume
* Message-count trends
* Message age
* Availability
* Backlogs
* Errors
* SLA violations
* Mailbox comparisons

Configure schedules and recipients according to the intended audience.

## Verify the Monitor

Verify that the configured POP3 Mailbox Monitor is enabled and executing on the expected GermainUX Engine.

Confirm:

* Correct Node
* Correct Engine
* Correct script
* Correct parsing rule
* Correct schedule
* Correct timeout

## Validate the Configuration

Test representative mailbox conditions and verify:

* Mailbox connection
* Authentication
* Message count
* Timestamp collection
* Message age
* Availability

>
> * Error handling
> * KPI values
> * SLAs
> * Categorization
> * Correlation
> * Privacy
> * Alerts
> * Automation
> * Dashboards
> * Reports

Also verify that GermainUX monitoring does not alter normal mailbox processing or unnecessarily retrieve message content.

## Advanced Configuration

POP3 monitoring can be extended through:

* Monitoring-script configuration
* Runtime parameters
* Parsing rules
* Custom KPIs
* Custom SLAs
* Correlation
* Analytics
* Automation

Use advanced configuration when the standard mailbox-count, message-age, availability, and error monitoring does not meet the requirements of the environment.
